Social Security Number Protection Policy
Purpose
Conduent uses Social Security Numbers in our role as an employer and as a service provider to our clients. This Social Security Number
Protection Policy (“Policy”) is intended to protect the confidentiality of and limit access to Social Security Numbers in the possession and
control of Conduent and prohibit unlawful disclosure of those Numbers. As used in this Policy, a Social Security Number (SSN) is a 9-digit
number issued to individuals by the Social Security Administration, an agency of the U.S. Federal Government.
Scope
For purposes of this Policy, “Conduent” means Conduent Education Services, LLC, its affiliates and subsidiaries ("Conduent"). This Policy applies to all Conduent employees, independent contractors, consultants, temporary employees and all other individuals or entities (“Workers”) that access, use
or process SSNs in the performance of job duties or the delivery of services on behalf of Conduent. Contracts with clients, suppliers or other
third parties may contain additional requirements relating to the protection of SSNs. In all cases, such contractual requirements will
control to the extent they are more stringent than the standards set forth in this Policy and associated procedures. This Policy does not
attempt to address the variety of specific legal or regulatory requirements that may be in effect in every jurisdiction. Such requirements
may be addressed in related Conduent privacy guidance and communications.
Protection of SSNs
Conduent will establish and maintain reasonable procedures and safeguards designed to protect the confidentiality of SSNs while in Conduent’ possession and control, whether collected by Conduent in connection with employment activities or furnished to Conduent in connection with the
performance of services for a client. No unlawful disclosure of SSNs is permitted. Access to SSNs will be limited to those Workers with
a need-to-know and to the minimum amount reasonably necessary for a Worker to perform the assigned task.
Compliance with Laws
Conduent will comply with all applicable laws relating to the use, access and disclosure of SSNs.
Integration with Security Policies
This Policy is intended to be interpreted and construed in a manner consistent with Conduent Information Security and Physical Security policies and other relevant policies or procedures.
Sanctions
Violations of this Policy may result in immediate disciplinary action up to and including termination of employment, contract termination, or other actions as Conduent deems appropriate.
Suppliers, vendors and contractors
Conduent will take reasonable steps to select suppliers, vendors and contractors who maintain appropriate safeguards to protect SSNs.
